iCloud storage full: what to delete first

Introduction

“iCloud Storage Is Full” means your iPhone has stopped backing up, new photos are no longer reaching iCloud, and iCloud Mail may stop sending. Apple’s offer to upgrade sits right under the warning, and sometimes that is the right answer. Often the space is sitting in an old backup.

Go to Settings › your name › iCloud, check Recommended for You, then open Storage to see which app uses the most. Old device backups and photos are usually the biggest items. Delete old backups after checking them, and export photos before deleting them, because a deleted iCloud photo disappears from every device.

Free tool: the cloud storage calculator shows how much iCloud, Google or Dropbox storage you need now and in a year, and which plan fits.

Buying more iCloud space never frees space on the phone, and clearing the phone never frees iCloud.

See what is using iCloud

  1. Open Settings, tap your name, then iCloud.
  2. Tap Recommended for You if it appears. Apple lists old backups, large files and photos you might not need (Apple).
  3. Go back and tap Storage (or Manage Account Storage). Each app is listed with the space it uses.
  4. Note the total and the top two items before deleting anything.

1. Old device backups

In Storage › Backups, each device is listed with its size and last backup date. A backup of a phone you sold or replaced is often several gigabytes. If its replacement is set up and backing up, the old backup can usually go. Deleting a backup also turns off iCloud Backup for that device. Read the old backups guide before deleting one.

2. Trim this phone’s backup

Tap your current phone under Backups to see which apps add to its backup. Turning one off deletes that app’s backed-up information from iCloud, so only switch off apps that keep their data in their own account (many streaming, social and messaging apps do) or whose data you do not need. Some apps are always backed up and cannot be switched off.

If you do not use iCloud Photos, your photo library is part of this backup and is often the largest item. Copying photos to a computer and backing up again reduces it.

3. Photos and videos

With iCloud Photos on, deleting a photo on one device deletes it on all of them. Export what you want to keep first, using the iCloud photo guide, then delete from the Personal Library. Two details save time:

  • Items in Recently Deleted do not count toward iCloud storage, so there is no need to empty it to free space (Apple).
  • In an iCloud Shared Photo Library, shared photos count only toward the storage of the person who created the library.

Optimize iPhone Storage keeps small copies on the phone and full ones in iCloud. It frees space on the phone, not in iCloud.

4. Messages attachments

If Messages in iCloud is on, texts and attachments use iCloud storage. On the iPhone, go to Settings › General › iPhone Storage › Messages › Review Large Attachments and delete videos and files you no longer need. Deletions sync to your other devices.

5. iCloud Drive

Open the Files app › Browse › iCloud Drive, sort by size, and delete what you no longer need. Deleted files stay in Recently Deleted for 30 days. Files in someone else’s shared folder do not count toward your storage.

6. Smaller extras

In Storage, the entries for Contact Images, FaceTime and Apple Invites each have a Delete Data from iCloud option. Mail: emptying Trash in iCloud Mail helps, and messages moved to a Mac’s local folders no longer count.

When iCloud+ is the honest answer

If the breakdown shows mostly photos and documents you want to keep in iCloud, a bigger plan costs less time than repeated cleanups. Check current prices in Settings › your name › iCloud › Upgrade to iCloud+; plans and prices vary by country. Keeping a second copy of irreplaceable photos on a computer or drive is still worthwhile, whatever plan you choose.

Check it worked

  • Reopen Storage after a few minutes; the figure updates once processing finishes.
  • On the phone, go to Settings › your name › iCloud › iCloud Backup and tap Back Up Now to confirm backups run again.
  • Open a few exported photos and files from their new location.
