How to organize bookmarks so you can find the useful ones

Introduction

Most bookmark collections are a single folder called “Other bookmarks” with 900 links named “Home” and “Login”. The fix is not more folders. It is fewer, named for why you will come back.

Export a backup, then sort bookmarks into four folders: Daily, Projects, Reference and Review. Rename each one you keep so its purpose is clear. Start with one folder at a time rather than the whole collection.

Back up before you start

Sync copies deletions to every signed-in device, so it is not a backup. Export a file first:

BrowserExport
ChromeBookmark manager (Ctrl+Shift+O or Cmd+Option+B) › three-dot menu › Export bookmarks
EdgeFavorites (Ctrl+Shift+O) › three-dot menu › Export favorites
SafariFile › Export › Bookmarks
FirefoxBookmarks › Manage bookmarks › Import and Backup › Export Bookmarks to HTML

Save the file somewhere you will find it, such as Documents › 02 Reference. Check you are in the right browser profile before editing.

Set up four folders

FolderWhat belongs there
DailyA few tools you open often. Put this on the bookmarks bar
ProjectsOne subfolder per current project
ReferenceUseful pages grouped by subject you actually look up
ReviewUncertain links, with a date to decide by

Review is not a permanent dumping ground. Clear it once a month.

Sort one folder at a time

  1. Open the bookmark manager and pick one folder.
  2. Delete obvious duplicates and links you know are dead.
  3. For anything unclear, open it. Close the tab once you decide.
  4. Rename vague titles: “Manual” becomes “Boiler manual, Worcester 30i”.
  5. Move each keeper into Daily, Projects, Reference or Review.
  6. Test: try to find one saved page using the browser’s bookmark search.

A bookmark is not a reminder. If a link means “do something”, add it to your task list with the next step instead.

Find duplicates and dead links

Most browsers do not flag duplicates. Sorting a folder by name puts duplicates next to each other. Some browsers and extensions can check for dead links; review the list before deleting, as a page may just be temporarily down or behind a login.

Bookmark bar tips

  • Keep only Daily links on the bar.
  • Right-click a bookmark, choose Edit, and delete the name to show just the icon. Ten icon-only bookmarks fit on one bar.
  • Use folders on the bar for small groups, such as “Bills”.

A bookmark is not an archive

Pages change, move or disappear. If you need a record, such as terms you agreed to or an order page, save it as a PDF (Print › Save as PDF) with the date in the name. Be careful with shared bookmark folders: links can reveal what you are working on or where an account lives.

Use one browser for bookmarks

Keeping separate collections in Chrome, Safari and Edge means three places to look. Pick the browser you use most and import the others into it, then sort once. Chrome’s bookmark help covers importing and editing.

When a bookmark manager app helps

Consider a separate app only if you need something the browser lacks, such as sharing curated lists or adding notes. Check export options, access and pricing before moving your collection, so you can leave easily later.

Keep open tabs out of bookmarks

If bookmarks fill up because you save every open tab, use the open tabs guide to decide what each tab is for first. Add a bookmark review to your weekly digital reset once a month.
