How to sort thousands of screenshots on your phone

Introduction

Screenshots are the sticky notes of a phone: a boarding pass, a recipe, a meme, a bank reference, a map you needed once. Thousands of them mixed into your photos make the real memories harder to find, and the one receipt you need harder still.

Open your Screenshots collection, work through one recent batch, and give each screenshot one of three outcomes: act on it, file it as a record, or delete it. Do not try to clear the whole backlog at once. A weekly five-minute pass on new screenshots keeps the pile from growing back.

Check whether you are looking at photos on the phone, a synced cloud library, or both. Deleting from a synced library removes the screenshot from every device.

Decide in three outcomes

One decision per screenshot. Work on a recent batch first. Illustration, not a screenshot.

A screenshot often cuts off the web address, sender or date. Where it matters, open the source and save the full email, PDF or link instead.

Clean one batch

  1. Open the Screenshots collection and start with the last month.
  2. Look at each image and choose its outcome.
  3. Do the action or filing first, then come back and delete.
  4. Delete in small groups and check the remaining ones still make sense.
  5. Empty Recently Deleted or Trash only after you are sure.

On Android, the Delete screenshots card in Files by Google lists screenshots stored on the phone and lets you select several at once. Read the confirmation, which says whether files go to the Bin or are deleted permanently (Files by Google Help).

Let search do some of the work

Both iPhone Photos and Google Photos can search text inside images. Type a word such as “receipt”, “booking” or a shop name to find the screenshots that matter before deleting the rest. Text recognition helps you find candidates; it cannot tell you whether you still need a record.

Stop the pile growing

  • When you take a screenshot, add it to the calendar or notes straight away, then delete it.
  • Do a weekly pass of new screenshots as part of the weekly digital reset.
  • Keep a single Records album or folder for screenshots you must keep, so everything else is safe to delete.

Storage gains

Screenshots are usually small, so deleting a few thousand frees less space than a handful of videos. If the phone is full, the phone storage guide shows where the space actually is. For repeated images, use the duplicates chooser, and for the wider library, the photo library guide.
